All You Need To Know About KRA and KPI

KRA, Key Responsibility Areas weren’t established until the 1900s. After Elton Mayo measured the relationship between productivity and the work environment in 1920, the government also contributed to improving employee satisfaction in 1950. The Performance Rating Act and Incentive Awards Act were introduced by them. Aubrey Daniels was the one to coin the term ‘performance management’ a couple of decades after that. After a series of evolutionary steps, performance management finally came online in the 2000s.

Performance management can get complicated. A list of things needs to be kept in mind while reviewing an employee’s performance and providing feedback. For this reason, KRAs and KPIs are designed for every employee to measure their performance in a mannerly form. Here’s what you need to know about what is KRA & KPI and how to write KRAs & KPIs along with their example and Benefits.

What is KRA?

KRA, or Key Responsibility Areas, are based on the job description of a person and are used when assigning tasks that they are expected to perform. Employees are solely responsible for the specific KRAs assigned to them. KRAs are a larger goal. For example, as a content writer, your KRA would be to produce content that performs and ranks well.

What is KPI?

KPIs, or Key Performance Indicators, are a subset of KRAs. This would mean that a person’s performance would be measured based on the results shown. KPIs can be exactly measured. Following up to the previous example, a content writer’s KPI would be when a particular feature or article about their company ranks in the top 3 search results. If you offer coworking spaces, your KPI would be your space showing up in the top 3 results for something like “coworking spaces in Mumbai”.

How to write KRAs?

While writing a KRA, here are some things to keep in mind:

  1. Since these are based on job descriptions, go through the JD of the employee thoroughly. Discuss with their manager and them if need be.
  2. Find out exactly what the employee is supposed to achieve and how they would contribute to the organization’s progress.
  3. Note down all measurable critical responsibilities to be carried out on the job. These include things that can be measured in numbers, percentages, etc.
  4. Set goals based on these responsibilities, and write self-explanatory descriptions of every goal.
  5. When describing these goals, ensure that measurable and realistic targets and timeframes are set.

How to write KPIs?

While writing a KPI, here are some things to keep in mind:

  1. As mentioned previously, KPIs are subsets of KRAs. Once you have a KRA in place, you can get a definitive and measurable KPI.
  2. Supposed you have a KRA of bringing in the 1cr worth of revenue in a year.
  3. To achieve this, your KPI could be bringing in revenue through 60% of new business, 30% renewals, and 10% via other methods.
  4. After having a large goal, smaller goals to contribute to the achievement of the larger goal will be your KPI. Thus, your KPI depends on your KRA.

Timely reviews can help in improving an employee’s performance. The shorter the period between reviews, the better it is. Performance reviews and generally conducted on a monthly, quarterly, half-yearly, or annual basis, based on the company policy. Keeping track of every employee’s review cycle can be tricky. Managing these via email and setting reminders is time-consuming, and can result in complications.

6 Ways To Make Your Workplace Safe For Women

Though it may seem that workplace harassment cases are on a rise, that’s not really true. They have been happening for a long time. In the absence of an internal system, women are now seeking help outside. They know they have the support and their voice is being heard.

Though we are constantly trying hard to make sure women get the support they need, here are a few ways to address and prevent workplace harassment:

1) Create Awareness

Creating awareness about safety is crucial at any workplace. Conducting sessions is a great way to spread awareness. Organizations can also educate people in other ways, maybe a small skit highlighting important points. Men and women both need to learn what’s acceptable behaviour and what isn’t. For men, this teaches them right from wrong. If a certain thing or behavior classifies as inappropriate, it would hopefully deter them from doing so.
For women, this would make them realise if anything they’ve been experiencing is objectionable. This would also help them in the future. If fortunately, they haven’t experienced sexual harassment in any way, they would be equipped with the knowledge to handle any improper behaviour in the future.
There are many ways to spread awareness apart from policies, plays, and speeches. Interactive discussions would have a greater influence on people. When they feel involved and have the chance to ask questions, clear doubts, and watch others get involved, it makes people feel they are a part of it. You can discuss the different types of workplace harassment, use examples to explain it better, and talk about prevention measures. You can also inform your employees about ways to help if they see someone being a victim of inappropriate behaviour. An anonymous platform, like a whistleblower policy, to submit incidents is also helpful.

2) Strict Sexual Harassment Policy

Even in the absence of an HR department, what shouldn’t be missing is a strict sexual harassment policy. There’s an abundance of workplace harassment policies online. All you need to do is look for it. Refer to those and make your own with the guidance of relevant people. Or simply pick one up from the ones available.
This policy should be circulated among all employees regularly. If not HR, then managers or the founders can send this to their team at regular intervals like once a month or so that it’s not forgotten. Along with these policies, sending out different ways to reach out the HR or relevant POC will also help motivate most to speak out.

3) Internal Complaints Committee

Organizations must set up a team with an intent to preserve women’s safety at the office. This panel must include a woman working at a senior position. Complaint and redressal mechanisms must be established to ensure every complaint received is acknowledged. The panel must also make it very clear that every incident and its details will be properly documented for future reference. These documentations will also be registered under respective employee records. Proper actions must be taken so such incidents don’t repeat. This team can send out the workplace harassment policy as reminders. Should an incident occur, it must be immediately taken care of and weekly reminders should be sent to inform employees of the consequences of such actions.

4) Go The Extra Mile

A small step that organizations can take is to distribute pepper spray for safety to all the female employees in the company. This would not only be of use inside the office, but also outside. While this is a great step, it must be noted that these pepper sprays can also be misused. Maybe as a prank, maybe while just playing around. It must be communicated to all employees that severe actions will be taken in case the pepper sprays are used for anything other than self defense.
Another outstanding initiative that organizations can introduce is self defense training. Just like companies these days have gyms for working out, yoga, and to conduct other relaxation techniques, self defense too should be promoted. It gives you a sense of strength and courage to stand up for yourself in situations. Having the mindset that you can defend yourself is a great confidence booster for women while they are out. Presence of mind upon experiencing women harassment is what will immensely assist you in getting out of it.

5) Create An Entrepreneurial Spirit Among Women

Top Distractions At A Workplace & How To Manage Them

As per a survey conducted by CareerBuilder, employees are said to waste over 30% of their working hours on other tasks. The primary cause for distraction is – zero points for guessing – mobile phones. Read on to know more about the top distractions at work and managing distractions at work.

66% of the employees that were a part of the survey admitted to checking their phones multiple times while working. With office wifi so easily accessible, it only makes it more convenient for people to check their updates. Though the survey was conducted in the U.S., it is extremely relatable globally.
The results showed that private messaging is one of the top distractions at work. Majority of the employees always have their phones within their reach. To add to that, most of the time it’s not on silent. As soon as people hear their notification tone, they pick it up and check who messaged. While this is acceptable, what it usually ends up as is a long conversation with the person.
According to the survey, here are some of the things employees spend their time on when they check their phones:

  • Personal messaging: 65%
  • Weather: 51%
  • Games: 24%
  • Shopping: 24%
  • Traffic: 12%
  • Gossip: 7%

Other reasons for checking their phone is going through their social media accounts. Checking their timeline for posts by their friends, funny comics/memes, or updates on their favorite TV shows. Realistically speaking, not a lot of people here check their phones for weather updates everyday at work. To be honest, nobody spends that long checking traffic either. We’re all very habituated with the rush hours, and only ever listen in when there’s a roadblock. Though gossip may only statistically be 7%, colleagues play a sizable role when it comes to distractions.

Here are some tips on managing distractions at work and how to try to avoid distractions at your workplace:

1) Loud music

Listening to music loudly can be distracting for the people around you. Even if you have earphones on, ensure the volume isn’t high enough for others around you to hear it. A simple solution for managing distractions at work is to listen to music softly. You’ll be able to hear your own thoughts, and won’t distract your colleagues either.

2) Social stories

What used to be just Snapchat, is now Instagram, Whatsapp, and Facebook as well. Stories are everywhere. People are addicted to sharing updates and videos of what they’re doing. And while there are others out there making updates, there’s the other half who’s busy watching those updates. This is majorly distracting for employees as every time the phone buzzes, it also makes them want to go check for new updates.

5) Gossiping
